Post-Job Interview Follow-Up Dynamite or Deplorable (Part 2 of 2) Post-Job Interview Follow-Up: Dynamite or Deplorable? (Part 2 of 2) From a veteran hiring manager’s perspective, I’ve found that the weakest part of most job search processes is the deplorable state of follow-up. You can go from the perfect candidate to the bottom of the list before you even know it! It’s so much more than thank you notes! (By the way, why aren’t you sending yours?) Thank you notes and follow-up communications are NOT optional; they are required. In Part 1, I showed how great follow-up can put you ahead of other candidates, defined what world-class follow-up looks like and provided sample outlines for thank you notes and a second follow-up note. In this segment, I’ll give you some more tricks to improve your post-job interview follow-up and ways to avoid common mistakes and excuses. Tricks: 1. Always appear gracious, positive, patient, and interested. Speak in a very respectful manner if youre leaving a voicemail message, acknowledging that “I know you are very busy, but I wanted to follow up on the email I sent you and that I’m still very interested in the position.” 2. When following up with an email, always attach the prior email you are referring to, keeping the context of the communication. If there was an attachment to the prior email, reattach it, as appropriate. Reattach your original application or cover letter and resume, if appropriate. 3. Match the communication medium the interviewer has been using, i.e. returning emails with emails, phone calls with phone calls. Job-Killer Mistakes: (Trust me, I’ve seen them all!) Mistake #1: Scathing follow-up emails from job seekers who think they are out of the running. Mistake #2: Rudeness or impatience. If the hiring manager gave you a specific date or timeframe, give them some room. Hiring processes take time and you dont want to seem overly anxious. Mistake #3: One-line emails: Can you call me back? Mistake #4: Group thank you notes (one e-mail to two or more people) imply you are lazy. Group notes are not â€" by their very nature â€" personal! Mistake #5: Careless copy and paste. Sending a personal thank you note addressed “Dear Sally” and with a closure that says, “Thank you, again, Bob.” Mistake #6: Misspellings, grammar, punctuation errors. This is another writing sample for the employer! Mistake #7: Gimmicks. Do not send flowers, a gift, nothing, nada. Mistake #8: Do NOT have a friend “swing by” the hiring manager’s office and ask, “How is Bob doing for your position hiring. Isn’t he great?” Excuses: (If you dont want to do something, one excuse is as good as another. ~Yiddish Proverb) Excuse #1: “I knocked the interview out of the park, so no need to send anything since I’ll get the job.” Well, aside from being too cocky, which could have hurt you during the interview, there is no excuse for not being polite. And what if you were good in the interview, but not great, and the next candidate did send a compelling note? Excuse #2: “I don’t have their email address.” Lesson learned. Ask for all email addresses while you are interviewing. However, if you forgot, contact the recruiter, HR manager, or anybody who might be able to give it to you. Simply say, “I would like to send them a thank you note,” so your intention is clear. Excuse #3: “Thank you notes seem so phony. I’m not the thank you note type.” First, they should be sincere. Sheer appreciation for their time and for considering you as a candidate should be reason enough to take 5 minutes to review your notes from that meeting and craft a thank you note. Second, if you are not the “thank you note type,” then learn to be one now! Excuse #4: “They told me I will not be the final choice for the position, so no need to thank them.” Wrong. You want to add your interviewers to your network and you may want to contact them again. In addition, what if that company has another position that opens up? Take the high road and always, always send a thank you note and stay in touch after that. In your thank you note, you may say, “If another position opens up within your organization, I am interested in being considered.” I want to help you stand out and win that job! These intermittent meetings will not only answer questions and preemptively solve potential project setbacks, but they will also reduce the chances of overusing your communication technologies and create a feeling of support among team members. Define Team Roles and Responsibilities If responsibilities are ambiguous, productivity and collaboration will suffer. At the start of each project, teams should designate specific roles and tasks for each team member. Delineating tasks gives team members a sense of ownership over their work and ensures that no one is left with an unreasonable amount of the workload. Understanding each other’s tasks and expectations also helps team members collaborate appropriately. So in your first project meeting, make sure this topic is discussed. In addition to assigning the specific responsibilities of each team member, be sure to also clarify the roles of each. For example, writing the budget section of a proposal is a specific responsibility. Acting as the budget expert, though, is a specific role that isnt necessarily limited to the budget section writer. By clarifying which person â€" or people â€" on the team are to be called upon as budget experts for this project, you are preemptively keeping the wrong people from getting bombarded about such questions. This role-assigning tactic is often overlooked, causing one poor worker â€" generally either the project lead or the nicest guy on the team â€" to be constantly trying to answer all his teammates questions when really, he shouldnt be the sole person of reference. Get to Know Your Team If you truly want to be part of a successfully collaborative team, you must recognize that theres more to collaboration than just having the right technologies. The members of a team â€" both in and out of the workplace â€" should be familiar and comfortable with one another. Ultimately, its up to you as a team member to make an effort to get to know your colleagues. It may sound intimidating or uncomfortable â€" especially if youre the new person in the office â€" but be bold! Invite your colleagues to an after-hours cocktail. Be the person in the office who starts a weekly bowling night tradition. If youre nervous, notice that these suggestions include workers, plural, meaning you dont have to start with an awkward one-on-one. In the meantime, while youre plotting your social scheme, get in the habit of simply asking your colleagues how theyre doing. Some will say fine and move on, but others will tell you about their day, their kids, their boyfriends and so on. By taking this basic step in socialization, youre laying the groundwork for an out-of-work invitation, learning a little bit about them and showing them that youre trying to be a pro-collaboration colleague. By getting to know your coworkers in more than a strictly all business sense, you get to learn more about their individual personalities. This, in turn, helps you to understand them, connect with them and, ultimately, work with them more effectively. And, as an added bonus, you may discover common interests and build new friendships. Do Your Part for Collaboration Working collaboratively can be a challenge among the varied generations that make up todays workforce, but its far from impossible. Do your part as a team member by staying open-minded to your colleagues ideas, continuing to try out new technologies and being hands-on about making your team a team that clicks. You need to take the bull by the horn and train people to recognize that you generally leave work at a reasonable hour, you dont spend your evenings on your smartphone, andyou still do a terrific job.Sure, you have to take your workplace culture into consideration and you dont want to do anything that undermines your bosss confidence in you. But you also have to do whats right for you as a mom. Work smart and efficiently. Do mora than what youre told to do. Go big with your ideas. But also set the boundaries you want to set and dont be intimidated by snarky comments from co-workers.That said, also be flexible. Periodically throw everybody a curve ballstay late, for instance, or come in on a Saturday. That shows youre willing to put in even mora when its absolutely necessary. Of course, if you sense irritation from your boss about your boundaries, you need to have a conversation.Go ahead, ask for it.One of the most important messages in my book is that women have to ask for what they want. We often dont ask because were afraid theyll say noand be mad at us for asking. But the squeaky wheel definitely gets the grease. Wish you could work at home one day a week or job share with another mom? Ask. If youre a strong performer, it wont hurt you. Just remember Dont make your ask about simply taking care of your own needs (I want to spend more time with my baby) you want to show you have your bosss needs in mind, too. Because its probably not about the Legos anyway.Make your kids your little interns.My mom was the school librarian, and sometimes on holidays shed bring me to the empty building with her to help on little projects, including decorating the display windows. I loved doing that, so I started bringing my own kids to work when they were about 5 or 6. By the time I got toCosmo,my daughter was 10 and my son 12.
